Information we may collect Depending on how you interact with us, we may collect your name, email address, telephone number, project or property address, project description, budget range, appointment details, correspondence, documents, drawings, photographs, planning information, payment and transaction information, marketing preferences, IP address, browser/device information and cookie information. We may also hold professional project records required to deliver services and meet contractual, insurance, tax, accounting, regulatory or legal obligations. Please do not provide special-category or highly sensitive personal information through an ordinary website form unless it is genuinely necessary and specifically requested.

4. How we collect information We may collect information directly from you through the website, email, telephone, meetings and project documentation; through Acuity Scheduling when you book; through Kit when you request a guide or subscribe; through Stripe when you pay; from consultants or advisers involved in your project; from publicly available planning, property, land or company records; and through cookies or similar technologies where permitted.

Why we use information We use information to respond to enquiries; assess project fit; arrange and deliver Fit Calls and Project Clarity Reviews; prepare proposals and appointments; provide architectural, planning, building regulations, design and advisory services; communicate with clients and project teams; manage payments, invoices and records; deliver requested guides; send marketing where permitted; operate and secure the website; prevent misuse; handle claims; and comply with legal, professional, insurance, tax and accounting obligations.

6. Lawful bases We rely on contract where processing is needed to take steps at your request or perform an agreed service; legitimate interests for genuine enquiries, relationship management, service improvement, security, record-keeping and claims; consent for optional marketing and non-essential cookies where required; and legal obligation where records or disclosures are required by law. 7. Email marketing We will send marketing emails only where we have an appropriate legal basis. Subscription forms will explain the type of emails you will receive. You can unsubscribe at any time using the link in an email or by contacting info@kristianmitchellarchitects.com Unsubscribing from marketing does not prevent service messages needed for an enquiry, booking, payment or active commission. We may keep a limited suppression record so that your preference is respected.

8. Lead magnets and guides When you request a guide, we use your email address to deliver it. If the same form also joins you to ongoing emails, this will be stated clearly before submission. Requesting one resource does not permit unrelated use of your information. Guides and emails provide general information and are not project-specific architectural, planning, building-regulations, legal, financial or cost advice.

9. Appointments and payments Acuity Scheduling is used to manage appointments and booking details. Stripe may process payments for paid appointments. We do not normally receive or retain your full payment-card number. Booking information is used to administer the appointment, communicate with you, deliver the service, keep appropriate professional and financial records and follow up agreed actions. Booking does not automatically subscribe you to marketing.

10. Who we may share information with Where necessary, information may be shared with Squarespace, Kit, Acuity Scheduling, Stripe, email and cloud storage providers, accounting and administration providers, website security or analytics providers, consultants and contractors involved in an instructed project, planning and building-control authorities, utility or statutory bodies, insurers, accountants, solicitors, courts, regulators or law-enforcement bodies. We share only what is reasonably necessary, lawful and proportionate. Independent consultants and authorities may have their own privacy responsibilities.

11. International transfers Some technology providers may process information outside the United Kingdom or European Economic Area. Where this occurs, the provider should use an appropriate lawful transfer mechanism and safeguards, such as an adequacy decision or approved contractual clauses.

12. Retention We keep personal information only for as long as reasonably necessary for the purpose collected and for legal, contractual, professional, insurance, tax and accounting requirements. As a general working approach: preliminary or unsuccessful enquiries may be retained for up to 24 months after meaningful contact; appointment and consultation records may be retained for at least six years where relevant to professional services or claims; project files are retained according to the appointment, insurer requirements and applicable limitation periods; financial records are normally retained for at least six years or the applicable statutory period; and marketing records are kept until unsubscribe, withdrawal or they are no longer needed. Longer retention may be required for deeds, disputes, anticipated claims or specific professional obligations.

Security We use reasonable technical and organisational measures including password-protected systems, access controls, reputable cloud services, software updates, multi-factor authentication where available, secure payment processors, backups and restricted access. No internet or email system is completely secure.
